List Management Reporting

Most of the small businesses manage the opt-in subscribers in a handful of lists. But many medium and large businesses create and maintain several lists for a plethora of reasons. More the lists you have more will be the complexity of managing of these subscriber lists. In such cases, a good reporting function would help manage the lists effectively.

Reporting Features

All reports should be easy to understand and incorporate multiple filters. Each business user might look at the same report from different perspective. Hence summaries and drill downs should be provided at all levels. In the detail level, the business user should be able to pick and choose the data columns necessary, as all columns need not be presented in all reports. The most important of all the features is the facility to download the data presented in the reports to a spreadsheet, so that the user can conduct further analysis. A nice-to-have feature of the reporting is having an opportunity to look at the data in graphical representation such as a pie chart or bar chart.

List Summary

This is the basic list of lists, summarizing the list names, list categories, list types, status, business area, list owner, and number of addresses maintained in each list. This report serves as a snapshot of the Email List Management component.

List Addresses

Subscriber email addresses and allied information (such as demographic information and custom data) are presented in this report. One or more lists can be selected and addresses in those lists can be viewed and downloaded, if necessary. Advanced column selection and multiple sort features would be very helpful in this report.

List Analysis by Domain

This report would be most useful if a market is targeting the B2C (Business to Consumer) market. Consumers typically use the free email services such as Gmail, Hotmail, AOL, and Yahoo and the emails provided by the Internet Service Providers (ISPs) such as ATT and BellSouth. Understanding the domains (in other words Email Providers) will help the marketer to design the emails in such a way that a maximum deliverability can be achieved. Domain Analysis also presents the top X or bottom X sort of analysis in a graphical (pie chart) format.

Subscription Activities

The marketer needs to understand the activities (opt-in and opt-out) in the list management arena. If opt-out rate is very high, remedial actions should be taken to retain the subscribers by providing value added services. This report provides the top level numbers of opt-in (growth rate) and opt-out (churn rate) activities and drill down data to analyze the same.

Email Activity Analysis

This report can also be termed as Subscriber Behavior Analysis report. List Management has to be viewed with the Campaign Activities to get a full picture of the email marketing efforts. Capturing the subscriber email addresses in the lists is of no use, if the addresses are not used wisely using suitable targeted and personalized email campaigns. This report helps to look at the activities at a subscriber level. Information such as campaigns in which the email is used, soft bounces, hard bounces, opt-outs, email opens, clicks, and forwards would be very useful to understand the subscriber behavior and plan the actions accordingly.
